Send an estimate
Build an estimate with line items, send it by text or email, and turn it into an invoice once it's accepted.
Updated Sep 28, 2026
Create the estimate
- Go to Estimates and start a new one, or start it from a lead or a customer's page.
- Choose the Customer and give the estimate a Title.
- Under Line items, click Add line item. For each item, pick a service or a Custom item, then set the quantity and unit price.
- In Summary, you can add:
- a Discount
- a Tax rate, applied to the subtotal after the discount
- a Valid until date
- a Deposit
- Add any Notes for the customer and Terms.
Totals are recalculated when you save, so what you see is what the customer gets.
Send it
Click Save & send. The customer gets a secure link:
- by text, if they have a phone number
- by email, if they don't
Sending also marks the lead as quoted and starts the Estimate follow-up automation, which sends reminders after 2 and 5 days.
If the message couldn't be delivered, you'll see a warning. Use Copy link on the estimate to send the link another way.
What your customer sees
The link opens the estimate. From there, your customer can:
- Accept estimate, which marks the linked lead as won
- Decline, optionally with a reason
Once the Valid until date passes, they can no longer respond.
The estimate shows viewed the first time they open it, so you know when to follow up.
Turn it into an invoice
When an estimate is accepted, click Create invoice, or use Convert to invoice in the menu. The line items, discount, tax, notes, and terms are copied over, and the due date is set from your invoice settings.
Accepting an estimate doesn't charge a deposit automatically. To collect one, request a deposit from the appointment, or send the invoice.
Other actions
- Edit or Resend an estimate that hasn't been accepted yet.
- Duplicate an estimate to reuse it.
- Use Mark accepted or Mark declined when a customer answers by phone.
