Turn on the AI receptionist

Choose how much your AI team does on its own, review drafts in Approvals, and set guardrails like quiet hours.

Your receptionist, Riley, replies to new leads and incoming messages. Riley can answer questions, quote prices, and offer open appointment times. Your follow-up agent, Morgan, writes the AI messages in your follow-up automations.

Choose how much the AI does on its own

Go to AI team → Agents. Each agent has an on/off switch and an autonomy setting:

  • Needs approval: this is the default. The AI writes a reply and puts it in Approvals for you to check.
  • Suggest only: the AI never sends or books anything by itself. Its drafts also wait in Approvals.
  • Autonomous: the AI sends replies and books appointments by itself, within your guardrails.

Start with Needs approval for a few days. Once you're happy with the replies, switch Riley to Autonomous so every lead gets an answer in seconds, even at 10pm on a Saturday.

Only managers and above can change agents and guardrails.

Approve, edit, or reject drafts

AI team → Approvals lists everything waiting for you. For each item you can:

  • click Approve & send (or Approve & book for an appointment)
  • click Edit to change the wording first
  • click Reject

You can also tick several items and click Approve selected. If an item says Held for review, it explains why the AI didn't send it by itself.

Set guardrails

Go to AI team → Guardrails & settings:

  • AI team is on is the master switch for the whole AI team.
  • Quote prices lets the AI give prices. It only quotes services marked AI can quote this price in Settings → Services.
  • Book appointments lets the AI book one of the open times it offered, once the customer clearly accepts.
  • Tone of voice can be Friendly, Professional, Casual, or Concise.
  • Max unanswered messages stops the AI from messaging the same person too many times in 24 hours without a reply.
  • Quiet hours hold AI messages as drafts overnight.
  • Custom instructions and Signature let you tell the AI about your business ("we don't work Sundays") and how to sign off.

When the AI hands over to you

Even an autonomous agent holds its reply for you if:

  • it's quiet hours
  • the unanswered-message limit is reached
  • the customer can't be messaged on that channel
  • the message looks like a complaint or spam
  • the AI decides a human should take over

In a conversation, you can set the AI mode to Off to handle it yourself. You can also use Draft with AI in the reply box to get a suggested message.

See what the AI did

AI team → Activity log records every action the AI proposed or took. You can filter it by status, agent, and action.
